How do I import/create new classes?

The school admin can create new classes and update existing classes and pupils. To do so, go to and select the "Classes" menu item under "Administration"  in the admin portal.

Click on "Import/update".

Now you have two options:

Add pupils manually
OR
Import a csv or excel file

(1) Add pupils manually:

1. Click "I don't have a file".
2. Choose the school year.
3. Type in the pupils' names or copy the names from a list into the input field.



4. Fill in the columns "gender" and "class". You can add a new class or choose from the existing classes. When this is done, click on "Continue".

5. Using a special algorithm SchoolFox matches the imported data with existing entries and updates them.

If SchoolFox does not find matching existing data, it creates new pupils. For example, John Doe starts this year in class 1D. Because there is no data from last year, he is added as a new pupil.

If SchoolFox finds matches, it merges the datasets and updates the import version. For example, Clara Clementine is a pupil of the 3A right now (school year 2020/21). After the import, she has moved up to the 4A (school year 2021/22).


You will see the summary on this screen and it can be edited using the dropdown menu.

5. Check the data and click on "Save" .


(2) Import a file

1. Click "Continue" and choose the school year.
2. Import the csv or excel file (e.g. the csv file of Sokrates). The file must include the columns surname, name and class.
Check the file for completeness. Please note that the file can only be uploaded if every row of the mandatory columns is filled in. Also, make sure to avoid typing data outside these columns.

3. Next you can check which columns need defining manually and which columns are missing in the file.
You have a dropdown option and can also name the categories.
You can assign the values to an individual designation.
If your file includes a title row, this row should not be imported.
When this is done click "Continue".
